INDIANA DAIRY GOAT ASSOCIATION, INC.
JOB DESCRIPTION - STATE FAIR REPRESENTATIVE
1. Shall be elected every year at the regular voting time for all other officers for a one year term.
2. Shall note all complaints, requests, and suggested book (rule) changes from Association members pertaining to State Fair Shows - both Open and 4-H.
3. Make a list of requests, complaints, changes in books, and Judges to present to Barn Director and First Assistant.
· List of requests, complaints, and changes in books must be presented to Association membership and voted on and approved before presenting to Barn Director.
4. Present lists of requests, complaints, and suggested changes in books to Barn Director and State Fair Entry Department Secretary and First Assistant
5. If possible set up a meeting with the Barn Director and First Assistant to go over lists of requests, complaints, and changes.
· Notify Association members of time and place of meeting so that any member wishing to attend may do so.
6. Make sure all additions and corrections get printed in the State Fair Books.
· This is done by:
1. Keeping in contact with Entry Department Secretary.
2. Proof reading the State Fair Book.
3. Phone calls to the Entry Department Secretary.
4. A meeting with the Entry Department Secretary is suggested.
7. Work with and for Association members and Officers and State Fair Exhibitors in making the State Fair Shows rewarding and enjoyable for all.
8. Coordinate trophy sponsors - this includes:
· Checking with past sponsors to see if they will continue to sponsor. If not, finding replacement sponsor(s).
· Make sure trophy sponsor's name, herd name, city where they live, and trophy they are sponsoring appears in the State Fair Books.
· Collect money from sponsors and see to it that trophies are ordered - including the ones sponsored by IDGA.
· Make sure all trophies not sponsored by State Fair are on hand when needed.
9. Responsible for turning all files and pertinent information over to the new Representative when one takes over.
SUGGESTIONS:
1. Attend as many IDGA meetings as possible in order to know the wants and needs of State Fair Exhibitors.
2. Proof read State Fair Book when you receive it and make note of any changes that might not have gotten corrected, new items that might not have gotten put in the book, or any mistakes that might appear.
3. Take notes at the State Fair of any suggestions or complaints received or personal observations of any situations or conditions that need to be changed or corrected.
4. Talk to Exhibitors at the State Fair and ask for comments and suggestions.
5. Assist in finding solutions to any problems that may come up at the State Fair.
6. Present a written report of barn repairs needed to the First Assistant in the Dairy Goat barn on the last day of the show. Copy of this list is to be presented to IDGA members at the September meeting.
7. Report to membership, the results of meetings with State Fair Barn Director.
8. Bring book errors to attention of First Assistant along with suggested solutions to these errors.
